1. Introduction and Scope
This Privacy Policy explains how Fire Safety Technical Services, LLC ("FireInspection360", "we", "us") handles personal information in connection with our websites, web applications, and mobile applications (together, the "Services"). It applies to everyone whose information reaches the Services, including:
- Fire department personnel who use the Services to do their work.
- Members of the public and businesses who hold an account, such as permit applicants, property owners and managers, contractors filing inspection testing and maintenance ("ITM") reports, and people requesting inspections, records, or public education events.
- People who never use the Services at all but whose information a fire department records in them, such as a property contact, a responsible party named on an inspection, a person named in a fire investigation, or a person associated with an incident.

2. The Fire Department Controls Its Records
Each fire department, fire district, or other authority having jurisdiction (each, a "Department") that uses the Services decides what information to collect, what to record, how long to keep it, and with whom to share it. We host and process that information on the Department's behalf and under its instructions. In data protection terms, the Department is the controller and FireInspection360 is its service provider or processor.
What that means for you in practice: if you want to see, correct, or delete information a Department holds about you, the Department is the right place to ask, and it is the party that decides. We will help the Department respond, and you may contact us if you are unsure who to approach. A Department's records may also be subject to public records laws and to records retention schedules that require it to keep information for a set period, which can override a deletion request.
This policy does not cover a Department's own websites, offices, or practices outside the Services.
3. Information We Collect
Information you provide directly.
- Contact and identity data: first and last name, business or organization name, postal address, email address, office and mobile phone numbers, and similar contact details.
- Account credentials: passwords (stored only as a salted hash, never in readable form) and, where a Department uses single sign-on, the identifier supplied by Google or Microsoft. The mobile app signs you in using one-time codes sent to your email address and stores authentication tokens securely on your device.
- Work assignment data: for Department personnel, your division, unit, shift, role, and permissions, so work can be assigned and tracked.
- Records you submit: permit and inspection applications, ITM reports, code violation reports, public education requests, records requests, notes, and any documents or photographs you attach.
- Communications: messages you send to a Department or to us through the Services or by email.
Information a Department records about you. A Department may enter information about a property and the people associated with it, including owner and occupant contacts, responsible parties, inspection findings, violations, investigation details, and incident information. This may happen whether or not you have an account.
Information collected automatically. Our servers log ordinary technical information such as IP address, browser or app version, pages or endpoints requested, and timestamps. We use this to operate, secure, and troubleshoot the Services, and to detect abuse such as automated account registration. We also record sign-in activity, including failed attempts, so Departments can audit account access.
Cookies. We use cookies that are necessary for the Services to function, principally to keep you signed in and to protect against cross-site request forgery. We do not use advertising cookies and we do not track you across other websites. Our public marketing site may use basic analytics and advertising conversion measurement; those are not present in the Department applications.
4. Mobile App Permissions
When you use our mobile app, we may also collect the following, each only with your permission:
- Location: the app collects your device's precise location to show your position on maps such as pre-plan and hydrant maps, to find pre-plans and hydrants near you, and to share your position with other responders in your Department during incident response. Location is collected while you are using the relevant screens, and stops when you leave them or when the app is not in the foreground. You can disable location access at any time in your device settings; the related features will stop working and the rest of the app will remain usable.
- Camera and photos: the app uses your device's camera and photo library so you can capture and upload photographs, for example of buildings, hydrants, and inspection items. Photographs you upload are stored with your Department's records.
- Push notification identifiers: if you enable notifications, we collect a device push token so we can send you alerts about new and updated incidents. This token is a device identifier and is shared with our notification delivery provider solely to deliver notifications.
- App settings: display settings such as your theme are stored only on your device. Your notification preference and incident unit filter are stored on your device and also sent to our servers, together with a device identifier, so that push notifications respect your choices.
5. How We Use Information
We use personal information to:
- Provide the Services, including permits, inspections, plan review, ITM tracking, pre-incident planning, hydrants, investigations, public education, maps, and incident alerts.
- Create and administer accounts, authenticate users, and enforce the permissions a Department has granted.
- Send transactional messages by email and, where you have opted in, by text message, about the status of your permits, inspections, reports, requests, invoices, and account.
- Process fee payments through the payment provider your Department has selected.
- Share your location and assignment with other authorized responders in your Department, when you have location sharing enabled.
- Secure the Services, prevent and investigate fraud and abuse, and maintain audit trails of who changed what and when.
- Provide support, diagnose problems, and improve reliability and usability.
- Comply with law and respond to lawful requests, and to establish, exercise, or defend legal claims.
- Post a testimonial or request feedback, only with your consent.
We do not sell personal information, and we do not share it for cross-context behavioral advertising. We do not use the content of a Department's records to train machine learning models for other customers or for our own general purposes.
Where the Services use artificial intelligence to assist with data entry, such as reading an uploaded ITM report to pre-fill a submission form, the document is sent to our AI provider solely to return that result. It is not used to train the provider's models.
6. Text Messages
If you opt in, we use your mobile number to send you status messages on behalf of your Department, through a third-party messaging provider. Message frequency varies with your activity, and message and data rates may apply. You can stop messages at any time by replying STOP to any message or by turning the option off in your profile, and you can reply HELP for help. Consent to receive text messages is not a condition of any purchase, permit, inspection, or service. We do not use your mobile number for marketing and we do not share it with anyone for their own marketing.
7. When We Share Information
We share personal information only as follows:
- With your Department: information in a Department's account is available to that Department's authorized users according to the permissions it configures. For personnel, this includes your name, unit, shift, and, when enabled, your location. Where a Department works with a partner agency, that partner may see records the Department has shared with it.
- With your company: if your account is linked to a business, other users at that business may see records filed under it, such as permit applications, inspections, and ITM reports. Public records requests you submit are not shared this way.
- With service providers who process information on our behalf and only for that purpose: cloud hosting and file storage (Amazon Web Services), email delivery (Amazon Simple Email Service), text messaging (Twilio), maps (Google Maps), push notification delivery (Google Firebase Cloud Messaging), and payment processing (the provider your Department has selected, which may be PayPal, Zift, PayFabric, Certified Payments, Tyler Technologies, or QuickBooks). We do not receive or store full payment card numbers.
- With other systems at your Department's direction, such as a computer-aided dispatch feed or a records system the Department has asked us to exchange data with.
- For legal reasons: where required by law, or where we believe disclosure is necessary to comply with a legal process, to enforce our terms, to investigate suspected fraud or a security incident, or to protect the safety of any person.
- In a business transfer: if we are involved in a merger, acquisition, or sale of assets, information may be transferred, subject to this policy and to our obligations to each Department.
Information in a Department's account may also be disclosed by the Department itself under public records law. That disclosure is the Department's decision, not ours.
8. Data Location and International Transfers
The Services are hosted in the United States, and information is stored and processed there. If you access the Services from outside the United States, you understand that your information will be transferred to and processed in the United States, where data protection laws may differ from those in your country.
9. Retention and Deletion
We retain personal information for as long as the relevant Department's account is active and thereafter as the Department instructs or as required by its records retention obligations and by law. Because fire prevention records are government records, a Department is frequently required to keep them for years, and in some cases permanently, regardless of your preferences.
You may request access to, correction of, or deletion of your personal information by contacting your Department's administrator, or by writing to [email protected]. We will respond within a reasonable time and will work with the Department, which decides on requests concerning its records. Mobile app users may also request deletion of their account directly at the address above.
When a Department leaves the Services, we delete or return its data in accordance with our agreement with it. Routine backups persist for a limited period before being overwritten.
10. Security
We use administrative, technical, and physical safeguards to protect personal information. These include encryption in transit, encryption at rest for stored files, hashed passwords, role-based access controls that Departments administer, audit logging of record changes and sign-in activity, and restricted internal access on a need-to-know basis. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If you believe your account has been compromised, contact us immediately.
11. Your Privacy Rights
Depending on where you live, you may have the right to know what personal information we hold about you, to obtain a copy of it, to have it corrected or deleted, to limit certain uses, and not to be discriminated against for exercising these rights. Residents of California and of other states with comprehensive privacy laws have these rights under those laws; residents of the European Economic Area and the United Kingdom have equivalent rights, including the right to lodge a complaint with a supervisory authority.
To exercise a right, contact your Department's administrator or write to [email protected]. We will verify your identity before acting, and you may use an authorized agent. Where the information is held in a Department's account, we will refer the request to that Department and assist it in responding, because it is the controller of those records. As noted above, records retention laws may require a Department to decline a deletion request.
Because we do not sell personal information or share it for cross-context behavioral advertising, there is nothing to opt out of in that respect. We do not use personal information for automated decision-making that produces legal effects about you.
You can control the mobile app's access to your location, camera, and notifications at any time through your device settings, and you can change or close your account at any time.
12. Children's Privacy
The Services are intended for fire department personnel and for adults transacting with a fire department. They are not directed to children under 13, and we do not knowingly collect personal information from them. If you believe a child has provided us with personal information, contact us and we will delete it.
13. Changes to This Policy
We may update this policy to reflect changes in our practices or for operational, legal, or regulatory reasons. When we make material changes, we will update the "Last updated" date above and provide reasonable notice through the Services.
